About the Role
We are seeking a highly organised and proactive individual to provide executive support while also fulfilling project management administration responsibilities. This hybrid role requires someone who can manage day-to-day executive assistant tasks as well as contribute to project coordination, reporting, and tracking.
Key Responsibilities
Project Management Administration
- Support the planning, execution, and monitoring of projects.
- Assist with the preparation and distribution of project timelines, progress reports, and dashboards.
- Track deliverables and follow up with stakeholders to ensure deadlines are met.
- Coordinate project-related meetings, compile minutes, and update action logs.
- Maintain accurate project documentation and filing systems.
- Provide administrative support to Project Managers and Executives in line with business priorities.
- Ensure compliance with reporting requirements and deadlines.
- Facilitate effective communication across project teams and stakeholders.
Executive & Administrative Support
- General secretarial support and assistance
- Drafting of correspondence
- Taking minutes
- Preparation of presentations
- Preparation and distribution of monthly reports
- Maintaining filing systems (electronically and manually)
- Assisting in compiling and preparing board packs for Board Meetings and ensuring that they are delivered timeously
- Diary management – coordination of meetings
- Travel arrangements
- Events planning and coordination
- Assisting management with personal matters
- Liaising and communicating with clients and executives in a professional manner
- Document review and preparation
- Refreshment and stationary stock maintenance
- Company banking
- Screening calls
- Boardroom bookings
- Assisting with Ad hoc tasks
Candidate Requirements
Education & Qualifications
- Matric.
- Relevant tertiary qualification or certification in Administration, Project Management, or Business Management (advantageous).
- Extensive administration and executive support experience.
Skills
Must have excellent typing skills and is required to have intermediate knowledge of the following:
- Microsoft Outlook
